Returns & Refunds Policy

We want every Koda Machined order to arrive as described and in a condition suitable for long-term ownership. We also understand that material, weight, resistance, sound, and handling feel can be difficult to judge before experiencing an object in person.

Returns

You may request a return within 30 calendar days of delivery, based on the carrier’s delivery record.

To begin a return, contact us at support@kodamachined.com with:

  • Your order number

  • The item you wish to return

  • The reason for the return

  • Photos of the item and packaging, if requested

Returns must be approved before shipment. Items sent without prior authorization may not be accepted. The approved return address may differ from the original dispatch address.

After receiving return authorization, the item should be shipped within 7 calendar days.

Return Condition

Eligible items must be returned:

  • In the same condition in which they were received

  • With no visible signs of extended use, carrying, wear, scratches, dents, contamination, or damage

  • With the original packaging, cards, tools, spare parts, accessories, protective materials, and documentation

  • Without disassembly, tuning, lubrication, repair, modification, or replacement of internal components

You may carefully inspect and briefly handle an item as reasonably necessary to understand its material, scale, mechanism, and basic operation. However, objects that have been carried, repeatedly used, disassembled, tuned, or modified are not eligible for return.

For rings and wearable objects, brief fitting is permitted, but the item must not show signs of wear or extended use.

Return Shipping

For returns based on preference, fit, sound, weight, handling feel, or a change of mind:

  • The customer is responsible for arranging and paying for return shipping

  • A tracked and insured shipping service is strongly recommended

  • The customer is responsible for the return parcel until it is delivered to the approved return address

  • Original shipping charges, expedited shipping charges, return shipping costs, duties, and taxes are non-refundable unless required by applicable law

If the return is caused by an incorrect, defective, damaged, or incomplete item supplied by Koda Machined, we will provide return instructions and cover reasonable return or replacement shipping costs.

Please do not return an item to the address shown on the original shipping label unless we specifically instruct you to do so.

Refunds

Once a return is received, we will inspect the item and notify you by email.

If the return is approved:

  • The eligible product amount will be refunded to the original payment method

  • No restocking fee will be charged for an eligible return

  • Original shipping, handling, duties, taxes, and return shipping costs are not refunded unless the return results from our error or applicable law requires otherwise

We aim to inspect returned items within 3 business days of delivery. After a refund is issued, your bank, card provider, or payment service may require additional time before the funds appear in your account.

If you have not received an approved refund after allowing time for payment processing, contact us at support@kodamachined.com.

If a returned item does not meet the conditions described in this policy, we may refuse the return or deduct an amount reflecting the loss in value, where permitted by applicable law.

Items We Cannot Accept

We cannot accept returns for:

  • Items returned more than 30 days after delivery

  • Items showing signs of carrying, extended handling, wear, scratches, dents, patina caused by use, contamination, or accidental damage

  • Items that have been disassembled, tuned, lubricated, repaired, or modified

  • Items with changed magnet layouts, springs, balls, bearings, plates, screws, liners, or other internal components

  • Items missing original packaging, tools, accessories, spare parts, cards, or documentation

  • Personalized, engraved, customized, or made-to-order products

  • Gift cards

  • Items clearly marked as final sale or non-returnable before purchase

  • Damage caused by misuse, improper storage, unauthorized repair, or failure to follow product-care instructions

Material, Finish, Sound, and Tactile Variation

Premium tactile EDC objects may vary slightly between units and material versions.

Characteristics such as the following are not automatically considered defects when they are consistent with the product description:

  • Stonewashed, bead-blasted, brushed, polished, anodized, flame-treated, or coated finish variation

  • Natural grain, machining, or surface variation

  • Patina or oxidation characteristics of brass and copper

  • Differences in sound caused by material, grip, surface, room acoustics, configuration, or handling pressure

  • Minor differences in resistance, magnet feel, detent character, or mechanical sound between individual units

If the item is otherwise eligible and remains in returnable condition, it may still be returned within the 30-day return period if the material, sound, weight, or handling feel does not suit your preference.

Damaged, Defective, Incorrect, or Incomplete Orders

If your order arrives damaged, incorrect, defective, or incomplete, contact support@kodamachined.com as soon as possible.

For shipping damage, incorrect items, or missing components, please contact us within 7 calendar days of delivery and include:

  • Your order number

  • A description of the issue

  • Clear photos or video of the item

  • Photos of the original packaging

  • Photos of the shipping box and shipping label, when relevant

Please retain the item, packaging, accessories, and shipping materials until the claim has been resolved.

After reviewing the claim, we may offer:

  • A replacement item

  • Replacement components

  • A repair or technical solution

  • A refund to the original payment method

  • Another suitable resolution agreed with you

If a replacement is unavailable due to limited stock, we will offer a refund or discuss an alternative with you before taking further action.

Pre-Orders and Limited Releases

Pre-order, made-to-order, and limited-release products may have additional cancellation or return conditions stated on the product page.

Unless a product is clearly marked as final sale, customized, or non-returnable, the standard return conditions in this policy apply after delivery.

Cancellation requests submitted before fulfillment will be reviewed individually. Once an order has entered production, sourcing, packing, or shipment, cancellation may no longer be possible.

Exchanges

Because many Koda Machined objects are produced in small batches or limited quantities, we do not currently offer direct exchanges for preference, size, material, or model changes.

You may return an eligible item and place a new order for the preferred product. Availability cannot be guaranteed while the return is being processed.

Replacement of damaged, defective, incorrect, or incomplete merchandise is handled separately and is not treated as a standard exchange.

Lost or Missing Shipments

If tracking shows that an order has been lost in transit, contact us so we can review the shipment and open an investigation with the carrier.

If tracking shows the parcel as delivered but you cannot locate it, please check the delivery location, household members, neighbors, building reception, and local carrier before contacting us. We will assist with the investigation, but the final resolution may depend on the carrier’s findings and applicable law.
